Job Summary

The Operations Intern works directly with the S&OM to support strategic planning, operational reporting, cross-departmental coordination, and process documentation. This role is hands-on with real operational output — not observational. The intern will touch recurring reporting cycles, help streamline workflows between departments, manage administrative processes like vendor/client accreditation, and build the documentation backbone that keeps Spiralytics’ operations legible and repeatable.

Key Responsibilities

Reporting Support

  • Assist in building and maintaining monthly operational reports and custom reports as requested by leadership
  • Consolidate data from multiple departments (Back Office and Performance) into consistent, decision-ready formats
  • Maintain report templates and flag inconsistencies or gaps in source data

Process Improvement & Cross-Department Coordination

  • Support the mapping of current workflows between departments 
  • Track action items and follow through on cross-departmental initiatives assigned by the S&OM
  • Flag cross-divisional coordination issues (Back Office ↔ Performance) early, rather than letting them surface late

Administrative Support

  • Manage vendor and client accreditation documentation — collection, tracking, follow-up, and filing
  • Maintain accreditation status trackers and proactively flag upcoming renewals or missing requirements
  • Handle other recurring administrative tasks that support operational continuity

Process Documentation

  • Document workflows and SOPs as they are mapped or revised, in a consistent, reusable format
  • Maintain and update the SOP/documentation library
  • Test documented processes for clarity — if a process can’t be followed without additional explanation, flag it for revision

General Operational Support

  • Assist with meeting logistics, agendas, and notes for leadership or cross-functional meetings
  • Support light research/benchmarking tasks as needed (industry practices, tools, vendor comparisons)
  • Take on ad hoc tasks that support the core Operations functions

Qualifications

Education:

  • Bachelor’s degree in Industrial Engineering, Operations Management, Business, Communications, or a related field

Skills and Competencies:

  • Knowledgeable in IE tools/methodologies
  • Proficient in MS Word, MS Excel, and Google Office Suite 
  • Excellent written English 
  • Internet-savvy and interested in growing in the online marketing industry 
  • Candidate must be knowledgeable in IE tools/methodologies.
  • Good organization and time management skills 
  • Can adapt to a fast-paced environment and is willing to perform various tasks

Working Conditions

  • Work Location: Makati City / Remote
  • Work Schedule: Monday–Friday (8:00 AM to 5:00 PM)
